How do I add/manage labels within a Gantt chart?

You can assign labels to individual or multiple elements within the Gantt chart.

Element labels are a non-hierarchical taxonomy you can use to categorise the elements within your grid. You can learn more about element labels here. The data table in your individual project grid or portfolio Gantt chart shows you the labels assigned to each element. You can now manage those labels within the Gantt chart.

Assigning Labels to an Individual Element

To assign labels to an element:

  1. In the element label column of the Gantt data table, double click on the relevant element label cell in the table
  2. Select the labels you want to assign to the element (learn more about primary and secondary labels here)
  3. Click the tick to save your changes or click cancel to discard your changes

Note: only element items in the Gantt chart have element labels.

Note: you will need at least edit access to the grid to edit element labels.

Note: elements can only have one primary (full colour) label assigned to them, they can have multiple dot labels assigned. Learn more about primary and secondary labels here.

Assigning Labels to Multiple Elements

It is now also possible to assign labels to multiple elements at once in the project grid and portfolio Gantt charts:

  1. In the element labels column of the Gantt data table, select the element label cells of the elements you want to assign labels to using shift key + mouse click (to select adjacent cells) or ctrl key + mouse click (to select non-adjacent cells) – see editing multiple Gantt data points in the Gantt chart for more information
  2. Once you have selected the elements you want to assign labels to, keep holding down the shift or ctrl key and double click on one of the selected element label cells
  3. The labels currently assigned to the selected elements will show as:
    1. Grey tick = some of the elements have this label assigned
    2. White tick = all of the elements have this label assigned
    3. No tick = none of the elements have this label assigned
  4. Select the labels you want to assign to the elements by:
    1. Removing the grey tick or white tick = remove that label from all of these elements
    2. Adding the white tick = assign this label to all of these elements
  5. Click the tick to save your changes or click cancel to discard your changes

The elements you selected now have those labels.

Note: elements can only have one primary (full colour) label assigned to them, they can have multiple dot labels assigned. Learn more about primary and secondary labels here.
