How do I integrate Method Grid with Microsoft To Do?

You can synchronise your Method Grid tasks into Microsoft To Do using our Microsoft To Do integration.

The Microsoft To Do Integration allows you to automatically synchronize your assigned tasks from Method Grid into your personal Microsoft To Do list. This ensures your personal task manager in Microsoft stays up to date with your project responsibilities in Method Grid.

How the integration works

The integration follows a "Source of Truth" model. This means that Method Grid is the primary source of truth for your tasks.

  • Automatic Sync: When a Task is assigned to you in Method Grid, it is automatically created as a task within a Method Grid list within your Microsoft To Do application.
  • Data Integrity: Changes to task titles, due dates or descriptions in Method Grid will automatically overwrite data in Microsoft To Do during the next sync to maintain integrity.
  • Bi-directional Completion: "Completion Status" is the only bi-directional attribute. Marking a task as complete in Microsoft To Do will update the status in Method Grid via a background synchronisation process.
  • Contextual Links: Every synced task in Microsoft To Do includes a permanent link in the notes section, giving you a direct link back to the element or gate that task is in.

Note: Tasks will only sync if they are not in an archived grid and are not part of a master grid. Tasks requiring evidence will be indicated as such in Microsoft To Do and will need to be managed and completed in Method Grid by attaching the relevant file evidence.

Setting your preferred list name 

The default To Do list name is Method Grid, it can be changed by your account admin only and this setting will apply to all the members of your Method Grid account. To set the list name:

  1. Navigate to your Account Settings.
  2. Locate the Integrations tab and find Microsoft To Do.
  3. Insert your desired list name in the relevant field.

Connecting your Microsoft account

To start syncing your tasks, you must first authenticate your account:

  1. Navigate to My Settings.
  2. Locate the Integrations tab and find Microsoft To Do.
  3. Click Link. You will be redirected to the Microsoft 365 login page.
  4. Authorize Method Grid to manage your lists and tasks on your behalf.
  1. Tasks assigned to you in Method Grid will now be synchronised into the Method Grid Microsoft To Do list.

Conflict management and rules

To keep your task lists clean and accurate, the system follows these automated rules:

  • Manual Deletions: If you manually delete a synced task in Microsoft To Do, it will be automatically recreated if the task is still active in Method Grid.
  • Unassigning/Deletion: If a task is unassigned from you or deleted in Method Grid, the corresponding task will be removed from Microsoft To Do.
  • List Cleanliness: The system ignores any tasks you create manually within the Method Grid-linked lists in Microsoft To Do.
  • Moving Tasks: If you move a linked task to a different list within the Microsoft To Do app, the synchronization remains active.
  • Warning Notes: A note is appended to every Microsoft To Do task created by the integration, informing you that Method Grid is the master record and that local edits (except completion) will be reverted.

Disconnecting the integration

If you wish to stop the synchronization:

  • Go to My Settings and select Integrations.
  • Select Disconnect next to Microsoft To Do.

Warning: When unlinking your Microsoft account, you will receive a warning message that all synced tasks will be removed from Microsoft To Do, though the list itself and any manually created tasks will remain.

Troubleshooting

Out of sync alert

If the integration loses permission to update your list (due to a password change or expired token), an alert will appear within Method Grid. You will need to re-authenticate your account via My Settings to resume syncing.

Local edits reverted

If you notice that changes to a task's title, date or description in Microsoft To Do have disappeared, remember that Method Grid is the "Source of Truth." Any local edits to these fields are automatically overwritten by Method Grid data during the next sync.

Orphaned tasks

To prevent your To Do lists from becoming cluttered, tasks are automatically removed from Microsoft To Do if their parent Grid is deleted in Method Grid.
