How do I set the working days used for the scheduling of items in the Gantt chart using work calendars?

You can configure work calendars for your account which set the days of the week that items in the Gantt can be worked on.

For example:

You can create a 5 day calendar with the working days set to Monday to Friday (Saturday and Sunday excluded). Items in the Gantt that are set to use this work calendar will then use these days when calculating their end date; so in this case, if an item has a 3 day duration and a start day of Friday, it’s end day will be Wednesday, not Monday as Saturday and Sunday are non-working days in the work calendar.

Note: Existing and new Method Grid accounts start with one work calendar which is set as the default. This work calendar is set to 7 days i.e. all days are working days. This initial default calendar cannot be edited or deleted as you need at least one work calendar for scheduling. Once you have created more work calendars, you can set one of these as your account’s default work calendar in the Gantt, all new grids will then use this account level work calendar by default. You can also set a different default work calendar for each grid in your account as needed.

Using work calendars in the Gantt

The work calendar each item in your Gantt charts uses for scheduling can be set at the grid level (the grid default) and at the individual level.

Setting the default work calendar for a grid

Members with edit access to a grid can set the default work calendar for the grid by selecting a work calendar from the calendars available in the account, to do this:

  1. Open the grid
  2. Open grid information
  3. Select the desired default work calendar for the grid from the list provided
  4. You will then be asked to confirm your selection, click the tick to confirm

IMPOTANT NOTE: All items currently using the default calendar for scheduling i.e. all items that have not been manually changed to a different calendar, will be changed to use this new default work calendar. This will reschedule all items and trigger any relevant date change notifications to all your team members.

Setting the work calendar for individual items in the Gantt chart

Members with edit access to a grid can set the work calendar used by items in the Gantt, members with view access can view the work calendar used. Each item in your Gantt chart can have the work calendar it uses set individually, this allows for complex scheduling in the Gantt. To set the work calendar an item uses to be different from the grid default you can either edit it in the Gantt table or in the edit modal for that item:

To set the work calendar in the Gantt table:

  1. Open the Gantt
  2. Click in the work calendar cell for the item you want to change
  3. Select the desired work calendar for the item from the list provided

To set the work calendar in the edit modal:

  1. Open the Gantt
  2. Right click on the item you want to change
  3. Select edit
  4. Select the advanced tab
  5. Select the desired work calendar for the item from the list provided
  6. Select the tick to save

IMPOTANT NOTE: Changing the work calendar for an item with a duration will reschedule that item according to the working days set in the work calendar.

Cloning grids and elements

When you clone a grid, any items within that grid that have a work calendar individually set, will have the same work calendar set when they are cloned, work calendars are retained.

When you clone an element within a grid using the quick clone feature, the element and any items within that element that have a work calendar individually set, will have the same work calendar set when they are cloned, work calendars are retained.

Managing your account’s work calendars

Account architects (admin users) can create and manage work calendars for use by all members across your account.

The account settings work calendars section

1 – Creating work calendars

To create a new work calendar:

  1. Go to account settings
  2. Select the date and time tab
  3. In the work calendars section select add work calendar
  4. Give the calendar a name e.g. 5 days (Mon to Fri)
  5. Select the working days for the calendar e.g. de-select Sat and Sun
  6. Select the tick to save

2 – Setting the account default work calendar

Once set, all new grids will use this account level work calendar by default. You can also set a different default work calendar for each grid in your account as needed. To set the default account work calendar:

  1. Go to account settings
  2. Select the date and time tab
  3. In the work calendars section, hover over the work calendar you want to set as the default and select make default

3 – Editing work calendars

To edit your work calendar:

  1. Go to account settings
  2. Select the date and time tab
  3. In the work calendars section, hover over the work calendar you want to edit and select the edit icon
  4. You can then edit the name and/or work days for that calendar
  5. Once editted select the tick to save

IMPORTANT NOTE: If you edit the working days of the calendar, all items in your account currently using this calendar for scheduling will be rescheduled based on your edits and trigger any relevant date change notifications to all your team and members.

4 – Deleting work calendars

To delete a work calendar:

  1. Go to account settings
  2. Select the date and time tab
  3. In the work calendars section, hover over the work calendar you want to delete and select the delete icon
  4. You will be asked to confirm the work calendar deletion and asked to select the work calendar items currently using this work calendar should be moved to
  5. Once selected, click the tick to save

IMPORTANT NOTE: This will reschedule all items in your account using the calendar you are deleting to the calendar you have selected to replace it and trigger any relevant date change notifications to all your team members.
